Archives, Mike H., Chair
The Area 26 Archives committee met on October 14, 2006 at Hopkinsville Kentucky, with eight present. We discussed the proposed classification policy for documents in the Area 26 archives repository. Vote 8 to 0, this will now give us some leeway in maintaining order. The Southeast conference was held in Louisville, Kentucky from August 10-13. We had an archives exhibit there. The programs consisted of some excellent speaker meetings and workshops. Tapes and CDs from both this convention and the Rule 62 convention were donated by a F.O.F. who helps on the overall tape project. Other CDs were also given. Three people attended the National Archives Workshop (NAW) in Baton Rouge, Louisiana in September 14-17. This completes the hurricane recovery effort, at least for this convention. It moves to Phoenix, Arizona next year. Much good information was exchanged and the new GSO archivist Amy F. was well received. The ad hoc committee on Host committees/conventions met on August 19, 2006 at the archives repository. The exhibit here has some old convention programs, you might like to look at. Some changes in the GSO archive policies can be expected. Amy F. is requesting more input and stories for the new workbook. We can expect further revisions and some sections are being reviewed by legal counsel. Packaged –GSO. Some discussion at NAW about budgets for area archives. They range from $25 for closet to $18,000 a year for location in California. There are two possible ways to upgrade our computer for copying of tapes. They described at NAW you a way to download the audio into a portable hard drive with longer life, store it and make CDs or MP3s at a later date. The other is “copy file”. We will investigate this and other suggestions to find something that fits in the Area 26 budget over the next six months. This will be our priority for conservation. The paper documents will also be monitored during the cold months. Late 70s early 80s not written down. State convention to state assembly to elect delegate before 81 Owensboro-- 72 Paducah, Louisville State committee. The real display of State convention is in Lexington. John M.asked me yesterday. Use at Frankfort and later if you all want a bigger display. Two new cases of $55 for display in archives. A very nice collection of copies of letters from NKIG were given to the Area 26 archives rep. yesterday 10/14, by a F.O.F.
